Booking Administrator – Fredrick Street Outpatients

Dunedin Hospital

Are you an experienced administrator who is adaptable, a quick learner and looking for a rewarding work environment to utilise your skills? Due to a current staff member retiring after an impressive 29 years of service, we have a rare opportunity for a Booking Administrator to join our Outpatients team based in Frederick Street Outpatients.


About the Role

Reporting to the Charge Nurse Manager, this pivotal role forms part of a dedicated team committed to supporting the patient journey from start to finish. On any given day this role could include a variety of responsibilities working alongside a multidisciplinary team including ensuring everything is ready for patient’s, impending surgical intervention, it may involve updating computer files, and constantly ensuring the patient journey is a smooth process through processes such as:

  • Referral data entry into IPM
  • Loading Waitlists
  • Booking appointments + preparation of patient clinical notes
  • Liaising with Clinicians
  • Answering phones
  • Reception duties


This role is heavily involved with administrative processes for Outpatients, and we’re looking for someone who is ‘on the ball’ when it comes to ensuring that the necessary paperwork is absolutely spot on! The role also involves a significant amount of communication with other pivotal key members, including patients.


You must be a team player with very good communication skills, who understands and appreciates the need for attention to detail.  You must also be comfortable interacting with a variety of people and attending to issues that arise – usually at the same time!   We ask that in your application you demonstrate how your previous work experience in administration and/or customer service roles has honed your ability to prioritise and juggle tasks, within demanding timeframes.


Excellent computer skills are essential and database experience using iPM is preferred but full training will be given to the successful applicant to ensure that you are comfortable and confident with our systems.

The salary range for this position is based on the PSA Collective Agreement Clerical Scale 4 ($43,580 to $51,259) pro rata, and will be based on relevant experience and skills.
